Introduction

These Terms & Conditions (“Terms”) apply to the websites of Codify Services (codifyservices.com and erp.codifyservices.com), to the Codify ERP software for housing societies and real estate businesses, its mobile apps, and to the related setup, training and support services (together, the “Services”).

By signing up, using the Services or paying an invoice, you agree to these Terms on behalf of yourself and the society or company you represent (“you”, “the Customer”). If you do not agree, please do not use the Services.

Our Services

Codify ERP is an online (cloud) software. Through it you can manage members, plots, file booking, installments, receipts, accounts and reports, according to the package you choose.

• The features of each package are listed on our Pricing page and inside the software.
• We may improve, add or change features from time to time. We will not remove a main feature of a paid package during a period you have already paid for.
• Custom development, data entry, data migration and on-site training are not part of a package unless agreed in writing.

Account and Sign-up

• You must give correct and complete information when you sign up and keep it up to date.
• You are responsible for your user names and passwords and for everything done with them. Give each staff member their own user and only the permissions they need.
• Tell us at once if you think your account has been used without permission.
• You must be at least 18 years old and allowed to act for the society or company you sign up for.

Packages, Prices and Billing

• Prices are shown on the Pricing page and on your invoice. A one-time setup fee may apply; it is shown before you sign up.
• Paid packages are billed in advance, monthly or yearly. Your package renews at the end of each period: we issue a renewal invoice before the period ends, until you change or cancel the package.
• A paid package is activated once the payment of its first invoice is received and confirmed.
• Invoices are payable by their due date. Prices do not include bank, wallet or gateway charges, which are paid by the payer, and any taxes that apply by law.
• We may change prices for future periods. We will tell you at least 30 days before a new price applies to your package.

Payment Methods

You can pay by bank transfer, JazzCash, Easypaisa or other methods we offer from time to time, including online card and wallet payments through a licensed payment gateway.

• For bank and wallet transfers, please send the transaction ID or a photo of the slip from the Subscription page of the software, or on WhatsApp.
• Card and online payments are processed by the payment gateway. Codify Services does not receive or store your full card number or card PIN.
• A payment is complete when the amount reaches our account.

Late Payment and Suspension

If a renewal invoice is not paid by the end of the paid period, your subscription becomes past due. If it is still not paid after the grace period shown in the software, access is suspended: users can then only open the Subscription page to pay.

Changing or Cancelling a Package

• You can move to a higher package at any time from the Subscription page. The new package opens when its invoice is paid.
• You can move to a lower or the Free package, or cancel, at any time. The change takes effect at the end of the period you have already paid for.
• Refunds are covered by our Refund Policy.

Your Data

• The data you enter (members, plots, payments, accounts and documents) belongs to you. We use it only to provide the Services and support, as described in our Privacy Policy.
• You are responsible for the correctness of the data you enter and for having the right to store your members’ information.
• We take regular backups and use reasonable security measures. You should also keep your own copies of important reports.
• When you stop using the Services, you can ask for an export of your data. We keep the data for 90 days after the end of the subscription, after which it may be deleted.

Acceptable Use

You agree not to:

• use the Services for anything unlawful, fraudulent or harmful;
• try to access another customer’s data, or break, test or bypass the security of the Services;
• copy, resell, rent or reverse-engineer the software, or share accounts with people outside your organization;
• upload viruses or harmful files, or overload the Services on purpose.

We may suspend an account that breaks these rules, after a notice where possible.

Availability and Support

• We aim to keep the Services available at all times, but there may be short breaks for maintenance, updates or reasons outside our control (such as internet, power or hosting problems).
• Support is given by WhatsApp, phone and email in office hours. Premium packages may include extended support as shown on the Pricing page.

Intellectual Property

The software, its design, code, logos and content belong to Codify Services. Your subscription gives you the right to use the software for your own organization during the paid period; it does not transfer any ownership.

Limitation of Liability

• The Services are provided “as is” and “as available”. We do not guarantee that they will be free of every error.
• Codify Services is not liable for indirect losses, such as lost profit or business, or for losses caused by wrong data entry, misuse of user accounts or third-party services.
• Our total liability for any claim is limited to the amount you paid us for the Services in the 3 months before the claim.

Termination

You may stop using the Services at any time. We may end or suspend the Services if you seriously break these Terms or do not pay, after a notice where possible. Sections on payment, your data, intellectual property and liability continue after the end.

Governing Law

These Terms are governed by the laws of Pakistan. We will first try to solve any dispute through discussion; if that fails, the courts of Pakistan will have jurisdiction.

Changes to These Terms

We may update these Terms from time to time. The latest version is always on this page with its date. If a change is important, we will tell you by email or inside the software. Continuing to use the Services after a change means you accept it.
